The Area Coordinator is an ambassador for The Filo Project and, as such, should be presentable and friendly with excellent communication skills.

The Filo Project is a not-for-profit social enterprise offering high quality small group day care for older people across Devon and Somerset. Our service is primarily for those who are socially isolated and may also be experiencing symptoms associated with early to moderate dementia, including memory loss. Small groups give the time and space for people to feel at ease and form friendships.

The Filo Project is a growing organisation and we now require an Area Coordinator to cover the Bridgwater area. We anticipate that the role will require 10~20 hours per week, although this is likely to vary from week to week, and can be worked flexibly from home. The role will require some driving to visit hosts and clients homes to undertake assessments.

AREA COORDINATOR Job Description

  • The AC will promote TFP in their designated area and establish and maintain good working relationships with social prescribers, GPs, health and social care teams and local support organisations, keeping them updated on developments in the area.
  • The AC will liaise with the AC Team Lead and Recruitment Manager to ensure new hosts and client assessors are recruited where needed.
  • The Area Coordinator will visit potential new hosts to complete risk assessments of their homes, record this on Podio and decide with the Recruitment Manager whether they are suitable to progress.
  • The AC will induct new hosts, arrange for them to undertake shadowing with established hosts and ensure they are familiar with company processes and the Podio system and have all the PPE and equipment required. They will complete host evaluations at set periods.
  • The AC will oversee all aspects of hosts’ work; will approve hosts’ requests for annual leave, arrange sick and holiday cover and ensure client families/advocates are informed of sick/annual leave cover. The AC will check host group logs and host mileage logs to ensure they are completed correctly. The AC will organise and hold team meetings with hosts and will listen to any concerns hosts might have and seek to resolve them as appropriate.
  • The AC will receive notification of new client referrals via Podio, and will make contact with clients or their families/advocates in order to carry out an assessment in their home.

The Area Coordinator will write up the client assessment on Podio, liaise with hosts, assign the client to an appropriate group on Podio and request a Client Pack to be sent from the office. They will also complete updates to profiles as necessary.

Where a Client Assessor is active in the area, the AC will instruct the CA to undertake client assessments, write them up on Podio and will liaise with the CA to receive all the requisite information in order to assign clients to groups.

  • The AC will establish good relationships with client families/advocates and keep them updated. The Area Coordinator will develop good working relationships with hosts, familiarising themselves with group dynamics and hosts’ working style by making periodic visits to the groups.
  • The AC reports to the AC Team Lead.
