Assistant MDT Co-ordinator

An exciting opportunity has presented itself to join the Cancer Services team as a full time Assistant MDT Co-ordinator. We are looking for an outstanding team player, an individual with an eye for detail, who has the ability to multi-task under pressure and independently prioritise their workload, and who is really passionate about providing excellent service for our patients.

Cancer Services provides a comprehensive service to our patients who are referred with suspected cancer as well as already diagnosed cases.

Patients referred with suspected cancer are tracked and monitored through their diagnosis, treatment and follow ups. Some specialist services are provided by tertiary centre but these patients are still tracked and all our staff work to ensure that cancer targets are met.

 

Main duties of the job

 

The successful candidate will be responsible for:

– Checking patients have received their first appointment and escalating breaches, following CWT National Guidance and identifying any data quality issues to the Cancer Services Management team.

– Help manage multiple MDT inboxes across all services, preparing and distributing the MDT lists.

– Assisting the MDT Coordinators to track the pathway of suspected cancer patients against the national monitoring standards (2ww, 28 day, 31 and 62 day targets).

– Cross covering colleagues during periods of leave, also covering elements of the MDT Co-ordinator role as appropriate.

– This will involve consultation with clinicians of different specialities to ensure that a high quality service is provided and national targets are met.

– Although the role does not involve direct contact with patients, it involves working with sensitive patient data on a daily basis, and the candidate will therefore need to be fully aware of the importance of confidentiality and information governance.

Detailed job description and main responsibilities

Communication & Working Relationships

Communications will be with a wide number of both internal and external contacts for example:

  • Relevant clinical teams to include medical and nursing leads, medical secretaries etc.
  • MDT Co-ordinators, Outpatient staff, X-ray staff, GP practices.
  • Fast Track Referrals Desk

    • North Bristol NHS Trust
    • Royal Devon & Exeter NHS Trust

The post holder must have an excellent telephone and email manner to ensure that clear and concise information is exchanged to patients and staff and be competent in communicating information via  office equipment (faxes/scanners).

They must be able to maintain an efficient service for staff and patients and be aware of the constraints of that area, such as time delays, transport or staff shortages.

Working Environment:

•           The post is office based with the need for daily use of the VDU (at least 3 hours daily).

•           The post holder will need to be able to walk around the Trust when onsite

Training, Cover and Any Other Specific Tasks Required

  • Training – to undertake training to be able to support the cover of appropriate MDT meetings in times of unexpected absence
  • Frequent interruptions by internal/external telephone calls and queries by email
  • Involves the continuous use of a PC during the day ensuring advised breaks are taken in line with health and safety guidelines
  • Regular use of hospital computer systems which include:

    • Maxims – Electronic Patient Record
    • Order Comms
    • RIS – Radiology System
    • EPRO
    • Mosaiq – Oncology system

Qualifications

Essential criteria
  • Educated to GCSE Level or equivalent
  • Keyboard & database skills

Knowledge

Essential criteria
  • Knowledge and experience of using MS Word and Excel, and systems and procedures for the collection and recording of data.
  • Office procedures and use of equipment, eg fax, photocopier, printers.
Desirable criteria
  • Knowledge of medical terminology
  • Knowledge of the patient care process in hospital.
