Integrated Team Administrator

An opportunity has arisen within Taunton and West Somerset Neighbourhood for Administrative Assistants to join our Integrated Administrative Team. The roles will initially be based within the Integrated Rehabilitation Team (IRT) and you will be involved with the further development of the admin team locally.

These roles directly influence the quality of care received and involve direct communication with patients, carers, all members of the Neighbourhood Team as well as colleagues based in other organisations.  Applicants need to be computer literate, have excellent communication skills and be able to work as part of a cohesive team.

 

Main duties of the job

 

You will be working as part of the Taunton Neighbourhood integrated administration team and duties will include comprehensive administration services including phone duties, typing, scanning, filing, managing incoming and outgoing mail, manage and receive telephone calls and messages, ensuring effective communication and courtesy at all times, supporting the multi professional team members with administrative tasks and generally assisting in the coordination of the smooth running of the team as a whole.
The post holder should be aware that this post will require working in the Taunton Neighbourhood Hub and some weekend/out of hours working to support the Trust’s aim of a 7 day service across Somerset.

Detailed job description and main responsibilities

To work as part of the Taunton integrated Administration Team providing comprehensive administration/reception services including phone duties, typing, scanning, filing, managing incoming and outgoing mail, manage and receive telephone calls and messages, ensuring effective communication and courtesy at all times, supporting the multi professional team members with administrative tasks and generally assisting in the coordination of the smooth running of the team as a whole.

Duties and responsibilities

  • To receive telephone calls and messages sensitively, ensuring effective communication and courtesy at all times.
  • To work with the Administration Team Lead and Integrated Team Managers to devise appropriate performance management programmes.
  • Assist with preparing rotas in conjunction with Administration Team
  • Lead/Integrated Team Managers.
  • Assist team members, team managers in arranging meetings and venues.

Planning and organisation

  • To collate and distribute incoming and outgoing post on a daily basis.
  • To undertake scanning on behalf of the multi-disciplinary team.
  • To maintain and support room booking system for meetings and appointments for the team members.
  • Maintenance of administrative files and records of referrals, attendances, discharges and deaths.
  • To devise, implement and maintain effective and efficient office systems including filing, post, diaries etc.

Person specification

RSA stage 3 or equivalent
