International Recruitment Administrator

Fixed Term: 12 months

In line with our International Recruitment strategy, we are looking for an experienced and motivated administrator to support our on-going project work for a minimum of 12 months.

This is a fast paced and interesting role, where you will support our International Recruiter to successfully on-board our international colleagues ensuring that they are provided with first class pastoral support.

You will be responsible for all compliance documentation in line with NHS Employment Standards and IR best practice, therefore an eye for detail is a must.

You will be self-motivated and thrive in a fast paced environment.

Experience in a customer facing role is essential.

To be successful in this position, you will embrace the challenge of working in a demanding and busy environment, displaying your ability to maintain a high standard of work whilst working under pressure.

Evidence of a high level of IT skills is required in order to manage the electronic recruitment management and staff records system.

This position will be hybrid working; you will base yourself from home, but there will be an expectation for you to travel to the office (Bridgwater/Taunton) 2 days per week and occasional travel to sites across Somerset. You must possess a UK driving licence and access to a vehicle as required.

 

Main duties of the job

 

The International Recruitment Administrator will be responsible for the on-boarding and compliance of recruitment checks for our International colleagues.

Ensure all trackers are kept up to date and KPIs are met for clearances.

Accommodation tracker is up to date and all extension requests are processed through the correct channels.

Providing specialist guidance to hiring managers, clinical leads and candidates throughout the international recruitment process.

Maintaining regular communication with candidates, recruiting managers and the wider recruitment team to ensure communication is consistent and engaging.

Accountable for compliance of NHS Employment Checks and ensuring electronic records are updated and personal information is recorded accurately.

Arranging interviews and recruitment events in the UK and internationally via social media and marketing platforms to attract the best international talent to our Trust. Supporting with the necessary documentation for the International Recruiter and the International Recruitment Manager.

Ensuring all recruitment documentation is current and attractive, designing new information leaflets to support international colleagues upon arrival.

Work independently, managing own time and caseload and planning work appropriately to ensure deadlines are met.

Supporting the international team as appropriate with any other administrative duties, such as interview note taking and meeting minutes.

Detailed job description and main responsibilities

  • The Recruitment Administrator will be responsible for the end to end recruitment administration duties for International Healthcare Professionals recruited to the Trust.
  • Responsible for delivering a professional service and positive experience for candidates and clients throughout the on-boarding process, maintaining electronic and manual systems in conjunction with a variety of administrative activities.
  • Keeping in contact with candidates and building relationships to support them through the process of immigration and NMC / HCPC registration for the UK.
  • Provide advice to candidates and clients on the UK immigration process and NMC / HCPC registration
  • Arranging recruitment events/interviews in the UK and overseas using social media and other platforms for marketing events.
  • Arranging interviews days both UK and overseas ensuring maximum capacity for the interview panels. This will include candidate resourcing – making contacts and marketing to generate candidates to interview.
  • Supporting overseas recruitment events which may include travel outside the EU.
  • Booking training for candidates and making any payments required.
  • Responsible for UKVI updates throughout the recruitment and NMC / HCPC registration process.
  • Making travel arrangements for the overseas recruitment teams and candidates travelling to the UK.
  • Accountable for compliance of NHS employment checks and ensuring electronic records are updated and personal information recorded accurately.
  • Sending employment offer letters and employment contract to candidates ensuring contractual information is correct. Also sending other correspondence to candidates and hiring managers ensuring information is accurate and of a professional standard.
  • Flexible working hours to meet the demands of the service and travel requirements.
  • Work independently, managing own time and caseload and planning work appropriately to ensure that deadlines are met. Taking a flexible approach to activities and re-prioritising regularly.
  • Consistently hit KPIs and deliver an efficient service to clients, problem solving and using initiative to resolve any problems.
  • Provide compliance reports and data on recruitment activity
  • Seek advice or guidance from their manager, as needed, to ensure the execution of the service is at its best.
  • Cover for colleagues during periods of absence to ensure smooth running of the recruitment department, work as part of a team to address peaks of workload and support SFT recruitment activity.
  • Assume responsibility for personal continuous professional development and keeping up to date with relevant policies, procedures and legislation, being aware of any changes. Attend meetings, conferences, workshops and courses as appropriate.
