Medical PA

An opportunity has arisen to join our Maxillofacial and Orthodontic Department based in Yeovil District Hospital .  We are looking to recruit to a part time post an enthusiastic person to lead the admin team, supporting our service in a very busy environment. The successful candidate should have excellent communication skills and be able to work as part of a team, but also use their own initiative.

All candidates must have previous experience as a medical secretary and/or possess the AMSPAR Medical secretary Diploma

Main duties of the job


To be responsible for providing a lead role to the Maxillofacial and Orthodontic Service, to include daily supervision and positive leadership of the administrative team, ensuring that high standards are maintained in terms of quality and output and that an excellent patient experience is provided at all times.  To use own initiative, and work without immediate supervision.

The post holder is required to maintain the Trust’s values and core standards and to lead by example.

Qualifications & Training

Essential criteria
  • RSA/OCR III WP/Typing or equivalent
  • AMSPAR or British Medical Secretary Diploma (includes medical terminology) or alternative experience
Desirable criteria
  • ILM 3 Leadership and Management, or equivalent (or be prepared to work towards)


Essential criteria
  • Working knowledge of in house hospital systems
  • Knowledge of patient notes / retrieval and related
  • Knowledge of medical terminology


Essential criteria
  • Previous secretarial experience
  • Evidence of supervisory & mentoring skills

Skills & Abilities

Essential criteria
  • Medical audio typing & word processing
  • Minute taking and transcribing
  • Able to cope in a busy working environment
  • Good knowledge of microsoft -word/excel/powerpoint


Essential criteria
  • Good communication skills on the telephone, via email, face to face and in written correspondence

Analytical & Judgement Skills

Essential criteria
  • Good analytical and judgmental skills with ability to prioritize
  • Shows initiative to take steps to ensure the patient has a smooth care pathway and pre-emptying any potential issues

Planning and Organisational skills

  • Ability to lead specialty teams and delegate workloads
